dont mind the capitalization, i just wanna know if it's easy to understand for my coworkers.. thanks!

1. ARCHIVING

delete unecessary files/drawings every day in the user interface and Folder files.

save everyday cad files in MODIFIABLE files folder. Every end of the week save them
in the ARCHIVE files folder with corresponding date of the cad files.

-My Documents
-MODIFIABLE files folder
-ARCHIVE files folder
_________________________

-MODIFIABLE files folder
-Project name folder
-project name & Title/label cad file
_________________________

-ARCHIVE files folder
-Project name folder
-'Dated' project name & Title/label cad file

delete the already archived MODIFIABLE files from the MODIFIABLE files folder in the

computer. Retain the MODIFIABLE files that are still unfinished or to be used.

If the left cad files in the MODIFIABLE files were changed after being saved in the

ARCHIVE folder, the newly changed cad file must replace the previous file in the

ARCHIVE folder with the modified date.

save the ARCHIVE files folder every end of the month in external drive,

-PROJECT NAME folder
-dated ARCHIVE FILE folder

drop the additional ARCHIVE FILE folders in the corresponding PROJECT folder until the

project is finished.



And every 2 months in writeable compact disks with label as such

COMPANY NAME
drawn by
inclusive date
PROJECT NAMES LIST

Delete the ARCHIVED FILES in the computer right after the corresponding project is

finished. Make sure that the file is already saved in the external drive and c.d

before deleting.

Mate, your co-workers would have to be as thick as a brick not to be able to understand your instructions. It is often said that "You can't put brains in a statue". Ever get the feeling that you are living in an art gallery? It is nothing more than the application of common sense to a "Father- Grand-Father" archival retrieval system.

Perhaps if you were to hold their hands whilst you talked them through the process............write the instructions in coloured crayon......lollies as an incentive.......(?)

If they can't understand your instructions, all they have to do is ASK!

When I've created instructions for others in our office, I've included "screen shots" (use Alt & PrtScn button together and then paste in document) to correspond with the written instructions. A picture is worth a thousand words. Also, another thing is to have someone who isn't familiar with it try to follow it and see where they have problems.

It's a little confusing.. but then again I had a few beers.. You should specify what the filename should look like. For example, project1-081112.cad
